Email Flows for Fitness Brands

The email flows a fitness brand needs for equipment, sports nutrition and programs, the subscription emails the rules require, and what to write.

Article summary

TL;DR

Every fitness brand needs five core email flows: welcome, abandoned checkout, post-purchase, review request and win-back. Then add the flow that fits what you sell: delivery and first-week emails for equipment, replenishment for protein and pre-workout, onboarding and trial reminders for programs. Some subscription emails are not optional: card networks and state laws require them.

  • Flows get a 5.58% click rate against 1.69% for campaigns (Klaviyo, 183,000+ customers, 2026).
  • In Klaviyo's "Sporting goods" category, flows reach a 1.79% placed order rate against 1.18% for campaigns.
  • A new fitness brand's abandoned cart flow recovered over £7.3k in its first 4 months, per its agency's case study.
  • Visa requires a reminder at least 7 days before a trial ends; Mastercard requires a confirmation with cancellation instructions after sign-up.
  • Marketing emails need a physical address and an opt-out honored within 10 business days (CAN-SPAM).

Flows by product family

Fitness brands sell three different things. Each one needs its own flow on top of the core.

Equipment: the delivery and first-week flow

Equipment is bought once, and it is heavy. The emails after payment protect the sale as much as they grow it.

  1. Shipping confirmation

With the carrier, tracking and the delivery window.

  2. Delivery day:

What to check on arrival, and how to report damage.

  3. Assembly or setup

Guide, and the first workout with the gear.

  4. Return policy in plain words

With how to start a return.

  5. Accessories a week later:

    Mat, plates, storage.

These emails also matter in disputes. Under Visa's "not as described or defective" condition, a cardholder's attempt to return counts when the merchant "did not provide clear instructions on how to return" (rules of October 24, 2026)10Visa Core Rules and Visa Product and Service Rules, edition of October 24, 2026, dispute conditions 13.1 and 13.3. Clear return instructions in the delivery email close that door. Disputes in detail: chargebacks for fitness brands.

Sports nutrition: replenishment timed to use

Time the reminder on how long the product lasts for that customer, not on a fixed number of days.

Fig. 3A 30-day tub, three reminders

What each email does

  1. Day 25: the first reminder, before the tub runs out.
  2. Day 28: three days later, one more nudge.
  3. After day 35: one follow-up after the cycle, then stop.

  2. Your storeDay 28Still training?Your tub is nearly empty. Reorder in one click.
  3. Your storeAfter day 35Back for another tub?Same flavor, one click.
Illustrative example. Timing: Klaviyo's 30-day example.
  • Exclude subscribers from replenishment emails: they already receive the product.
  • One click to reorder the same flavor, and a second button to subscribe.
  • Send by product, not by order: protein and pre-workout run out at different times.

Subscriptions: subscription billing for fitness brands.

Subscription emails the rules require

For protein subscriptions and paid programs, some emails are not marketing choices. Card networks and state law expect them.

Watch out

Check timing against the rules, not against your tool's default. Tagada's "subscription_rebill_upcoming" email goes out "3 days before the next billing cycle" by default9Tagada docs, Emails, read November 2, 2026. For a trial on a program or app, Visa asks for a reminder at least 7 days before it ends4Visa Core Rules and Visa Product and Service Rules, edition of April 18, 2026, tables 5-20 and 5-21: set that one separately.

Frequently asked questions

What email flows should a fitness brand have?

Welcome, abandoned checkout, post-purchase, review request and win-back for every brand. Then one flow per product family: delivery and first week for equipment, replenishment for sports nutrition, onboarding and trial reminders for programs. Start with abandoned checkout: it recovers orders right away.

When should a protein replenishment email go out?

A few days before the tub runs out for that customer. For a product that lasts 30 days, Klaviyo's example sends the first email on day 25 and the second 3 days later, then one follow-up after the cycle. Exclude subscribers, who already receive the product.

What should a post-purchase email say for fitness equipment?

The delivery window and tracking, what to check on arrival, how to assemble and start using it, and how to return it if something is wrong. Clear return instructions also matter in disputes: Visa counts a return attempt when the merchant did not give clear instructions.

Do I have to send emails before a subscription renews?

For trials, Visa requires a reminder at least 7 days before the trial ends. Mastercard expects a confirmation with cancellation instructions after sign-up and a notice before billing for cycles of 6 months or less. California requires an annual reminder for contracts since July 2025.
