How to Get a Fitness Product Merchant Account Approved

The documents, site checks and offers underwriters review before approving a fitness equipment or sports nutrition brand, timelines, and refusals.

Article summary

TL;DR

Prepare the file for what you sell. Every underwriter wants owner ID, company documents, bank statements and processing history. Equipment brands must also show delivery proof, shipping times and a clear return policy. Sports nutrition brands must show labels, ingredients and the evidence behind claims. Published approval times run from a few business days to several weeks.

  • Finix asks for photo ID of owners holding 25% or more, plus labels, ingredient lists and ad copy for supplements (August 2026).
  • Published approval times: "a few business days" when the file is clean, "several weeks" when it isn't (Finix, 2026); "24 hours to 5 business days when documentation is complete" at PaymentCloud.
  • Visa only accepts delivery proof "that contains the full delivery address" in a "not received" dispute (October 24, 2026 rules).
  • The FDA calls DMAA supplements "illegal": one such product in your catalog can sink the file.

This guide is part of our hub on fitness product payment processing. The general guide, for any business: merchant account approval: underwriting, documents and timelines.

Do you need an underwritten account at all?

Not always. Stripe and Shopify Payments sign you up first and review later. An underwritten account is reviewed before your first sale.

The documents

The base file is the same for any fitness brand.

  1. Who you are

Photo ID of each owner, formation documents and EIN.

  2. Where payouts go

Voided check or bank letter, and recent business bank statements, usually 3 months.

  3. Your history

Prior processing statements, 3 to 6 months: volume, average ticket, chargeback ratio.

  4. Your supply

Supplier invoices or contracts, as proof you can deliver.

Then add the documents for your product type, listed below.

What underwriters check for equipment

Equipment risk is fulfillment risk. Show you can deliver, and that you handle the item when it doesn't arrive or arrives broken.

What underwriters check for sports nutrition

Sports nutrition is underwritten like a supplement. Finix asks for labels and ingredient lists, certificates of analysis, and the website, ad and email copy that carries health claims1Finix, Nutraceutical merchant account: how to get approved, August 17, 2026.

Watch out

Approval covers the products and offers you declared. Adding a pre-workout line to an equipment store, or a trial offer to a protein brand, can need a new review. Ask first.

If you're refused

  1. Ask why: product, claims, offer, fulfillment or history.
  2. Fix the cause on the site, not only in the file.
  3. Don't re-apply elsewhere with a different story. Underwriters compare.
  4. Lower your risk: one-time sales first, subscriptions with clear terms later.
  5. Keep disputes low while you build history: chargebacks for fitness brands.

A refusal names a cause. Fix that cause on the site before any new application.

The rules you're held to after approval: fitness product merchant account compliance. Setting up checkout and refills on the store side: subscription billing for fitness brands.

TagadaPay turns one application into several: "One KYC. One signed package. We distribute it across our processor network and follow up so you don't have to."

  • Reviewed by people: "If you sell something real, we will get you paid." "Enhanced review for regulated verticals." "The person who reviews your application has a name, and so does the one who picks up when something breaks."
  • Fast when the file is ready: "Most merchants are live under 24 hours," according to TagadaPay.
  • Clear refusals: TagadaPay's prohibited list includes falsified documents, counterfeits, chargeback evasion, deceptive trial and subscription marketing, and MATCH-listed merchants.

Frequently asked questions

What documents do I need for a fitness merchant account?

Owner ID, formation documents and EIN, a voided check, recent bank statements and prior processing statements if you have them. Equipment brands add supplier and shipping details; sports nutrition brands add labels, ingredient lists and the copy that carries claims.

How long does merchant account approval take?

PaymentCloud quotes 24 hours to 5 business days when documentation is complete. Finix says "a few business days" when everything checks out and "several weeks" when it doesn't. Missing documents and unclear offers cause most delays.

Can a pre-workout brand get approved?

Yes, if every ingredient is legal and claims stay within supplement rules. Products with DMAA or DMHA are illegal or adulterated in the FDA's view, and no underwriter will accept them. Clean labels, the FDA disclaimer and evidence for claims are what get reviewed.

Why was my merchant account application declined?

Common causes: a product or ingredient the processor won't carry, weight-loss or muscle claims, a trial offer with unclear terms, a high chargeback history, or a MATCH listing. Ask which one, fix it on the site, then re-apply with the same, accurate story.

Do I need a merchant account to sell fitness equipment online?

Not to start. Stripe and Shopify Payments don't name fitness equipment. An underwritten account makes sense when tickets are high, freight adds delivery disputes, or volume grows enough that a sudden hold would hurt.
