Failed Payment Recovery for Fitness Brands

Why protein and program renewals fail, the recovery playbook (retries, card updates, messages, backup processor) and the card network retry rules.

Article summary

TL;DR

Failed renewals are subscribers you lose without them deciding to leave. Recover them in layers: refresh cards before they expire, retry soft declines at smart times within the first 10 days, message the customer with a one-click card update, and use a backup processor when the first one is down or times out. Never retry the declines card networks forbid.

  • 25% of lost subscriptions are lost to a failed payment, according to Stripe (January 2024).
  • 90% of recovered payments are recovered within the first 10 days after the failure (Recurly, April 2026).
  • Visa allows up to 20 attempts in 30 days for retryable declines (Visa Core Rules, 2026) and forbids retrying some decline codes, with a fee for each excess attempt.
  • Once a customer is lost to a payment issue, only about 5% ever resubscribe, as reported by the Merchant Risk Council.
  • For protein and pre-workout, the window is short: the tub runs out, and the customer buys elsewhere.

Fig. 1Four ways a renewal fails, four answers

  1. Soft decline

Retry within network limits: smart retries, later in the day or after payday.

  2. Expired or replaced card

Not with the old card: card updater, card update link.

  3. Hard decline

No retry: Visa category 1 codes must never be retried. Ask for a new payment method.

  4. Processor problem

Not on that processor: route to a backup processor.

The decline code tells you which card you are on.

Types from the table above; Visa rules via Payway.

Read the decline code before anything else. It tells you which column you are in.

The recovery playbook

WhenAction
Before the renewalRun card updates; email customers whose card expires before the next charge
Day 0, the failureRead the decline code; never retry hard declines; send a friendly "update your card" message with a one-click link
Days 1 to 10Retry soft declines at different times and days; one reminder by email and one by SMS
If the processor is down or times outRoute the retry to a backup processor
Day 10 onwardLast reminder; pause the subscription instead of cancelling it
After recoveryShip quickly; the customer may be close to the end of the tub

  2. Day 0Read the decline code; never retry hard declines; update your card message
  3. Days 1 to 10Retry soft declines at different times and days; one email, one SMS
  4. Day 10 onwardLast reminder; pause the subscription instead of cancelling it
  5. After recoveryShip quickly: the tub may be nearly empty

Pause at the end, don't cancel.

Playbook from the table above.

Check your app's default before you trust it. One Shopify subscription app answered a merchant that, by default, it retries 3 times, one day apart, then cancels the subscription7Shopify Community, Recovering failed payments for subscription store?, August 16, 2022 (app reply of August 22, 2022). Cancelling after three days throws away most of the 10-day recovery window1Recurly, Failed payment recovery: a data-based strategy, April 30, 2026.

Example

A 30-day protein renewal fails two days before the tub runs out. Recovering it on day 3 still gets the next tub there with a short gap. Recovering it on day 15 means two weeks without the product, and many customers will have bought another brand by then.

Programs and memberships: what happens to access

For a workout program or an app, nothing ships. The question is whether access stops when the payment fails.

  • Keep access during a short grace period, the time of your retries. Cutting access on day 0 punishes customers whose card simply expired.
  • Say it clearly in the message: "Your plan stays open until [date]. Update your card to keep it."
  • Pause, don't cancel, at the end. A paused member can come back with one click.
  • Stop renewal reminders for a paused plan, and restart them when it resumes.

Watch out

Retrying a hard decline again and again does not recover the payment; it adds fees and can flag your account. Retry only what the decline code allows.

Messages that recover

  • Tone: helpful, not threatening. "Your next tub is on hold: update your card in one click."
  • One-click link to update the card, without logging in if possible.
  • Remind them what they'll miss: the next delivery date, or the next week of their program.
  • Email plus SMS: SMS gets read fast, which matters when the tub is nearly empty.
  • Stop when it's fixed: no reminder after the payment goes through.

What each message does

  1. Day 0: a helpful note with a one-click card update link.
  2. Day 2: SMS gets read fast while the tub runs out.

A backup processor recovers what retries can't

Some failures come from your side: a processor outage, an account review, or a processor that declines more on your traffic. Retrying on the same processor won't help.

  • Route the renewal to a second processor when the first is down or times out.
  • Keep cards usable on both processors, so the renewal can run on either.
  • Check the decline rate by processor each month.

How Tagada helps

Retries, past-due emails and a backup processor for fitness renewals

  • Automatic retries: a subscription whose last rebill failed moves to "past_due", "retrying automatically"8Tagada docs, Subscriptions (Node SDK), read November 2, 2026
  • Past-due emails sent on the "subscription_past_due" event9Tagada docs, Emails, read November 2, 2026
  • Customer portal where subscribers update their card, pause or reactivate10Tagada docs, Customer portal, read November 2, 2026
  • Routing across TagadaPay and processors such as Stripe, NMI and Airwallex, with one logic, and cascade to another processor when one is down or times out: "Route to the processor most likely to approve it, retry on decline. No engineering required." TagadaPay reports a "+18% approval uplift."
  • A vault you own: "Switch processors without re-onboarding customers. No vendor lock-in. Ever."
  • Server-side tracking so recovered renewals are counted

Frequently asked questions

How do you handle failed payments on a subscription store?

In layers: read the decline code, retry only soft declines at different times within about 10 days, send a message with a one-click card update link, and route to a backup processor if the first one is down or times out. At the end, pause the subscription instead of cancelling it.

How many times can I retry a failed payment?

Visa allows up to 20 attempts in 30 days for retryable declines and forbids retrying category 1 codes, such as closed accounts or lost cards, with a fee for each excess attempt. In practice, a few well-timed retries within the first 10 days recover most payments.

How much subscription churn comes from failed payments?

Stripe reports that 25% of lost subscriptions are lost to a failed payment. Recurly's ecommerce benchmark splits a 4.25% median annual churn rate into 2.87 points voluntary and 1.38 points involuntary. Measure your own split before choosing where to act.

Should I cut access to a workout program when the payment fails?

Not on day 0. Keep access during a short grace period while you retry and ask for a card update, and tell the member the date access will stop. If the payment still fails, pause the plan rather than cancelling it, so they can return in one click.
