Square Deactivated Your Account: Funds, Timelines and Next Steps

Square deactivated your account: what its terms allow, how long funds stay held, how to appeal, export your cards and data, and keep selling.

Article summary

TL;DR

Square's terms let it deactivate an account "at any time for any reason" and hold your money "temporarily or indefinitely" while it investigates or waits out disputes. The terms set no number of days. Appeal if your email offers it, request your card export, download your data, and don't close the account yourself.

  • Square's General Terms (updated October 27, 2026) let it "suspend or terminate your Square Account … at any time for any reason".
  • Its Payment Terms (July 30, 2026) let it "defer payout or restrict access to your Proceeds, temporarily or indefinitely".
  • Square says appeals, for eligible sellers, "are typically reviewed within 48 hours".
  • Square exports saved cards only to a PCI DSS Level 1 processor, and the export can take up to two weeks.
  • After termination, Square "may (but [has] no obligation to) delete your information and account data".

What Square actually did

Start with the email. Square says it notifies termination "by email or at the next time you attempt to access your Square Account"1Square, General Terms of Service (US), sections 3, 12, 13, 22 and 24, last updated October 27, 2026 (applies to all sellers from November 12, 2026; sections 12 and 13 unchanged from the September 14, 2026 version), read November 3, 2026. The words tell you which situation you're in.

Why Square deactivates accounts

Square doesn't need a specific reason. Its General Terms say it may "suspend or terminate your Square Account or your access to any Service, at any time for any reason, including a violation of the Terms"1Square, General Terms of Service (US), sections 3, 12, 13, 22 and 24, last updated October 27, 2026 (applies to all sellers from November 12, 2026; sections 12 and 13 unchanged from the September 14, 2026 version), read November 3, 2026. The Payment Terms repeat it for payments: "Square may terminate your use of the Payment Services at any time for any reason"2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026.

In practice, the triggers sit in the terms. Grouped:

Trigger in Square's termsWhat it looks like on your account
An unsupported industry, among 31 listed (section 3)Subscription offers sold by direct marketing, "up-sell merchants", "high-risk products and services"2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026
An "excessive amount of Chargebacks", actual or expected (section 21)A dispute spike after an ad or a shipping delay2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026

A failed periodic check (section 8)Square "may periodically obtain additional reports" on whether you still qualify2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026
Suspected fraud, unauthorized or harmful activity (sections 12 and 24)Card testing, stolen cards, a payment Square sees as harmful2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026
A sale that isn't "bona fide" or isn't accurately described (section 36)Your own card run through the account, products that differ from your listing2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026
A sanctions issue (General Terms, section 3)Funds "could be held for an indefinite period of time"1Square, General Terms of Service (US), sections 3, 12, 13, 22 and 24, last updated October 27, 2026 (applies to all sellers from November 12, 2026; sections 12 and 13 unchanged from the September 14, 2026 version), read November 3, 2026

The notice rarely names one line. Look at what changed in the last 90 days: an ad, an offer, a product, a supplier. The full list of unsupported businesses: Square prohibited businesses.

How long Square holds your funds

The terms set no number of days. Square may defer payouts "temporarily or indefinitely" while it investigates or resolves a pending dispute2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026.

You will read 90 days everywhere. That figure comes from deactivation notices sellers receive and repost, and from processors' blogs: PaymentCloud writes that Square "typically holds your balance for ~90 days"6PaymentCloud, Square deactivated my account, updated September 3, 2026 (processor's blog, secondary source). Read your own email for the date Square gives you.

The reason for the wait is the dispute window. Square may withhold the amount of a likely chargeback until "the period of time … by which your customer may dispute that the transaction has expired"2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026. Under Visa's rules, most disputes can be raised up to 120 days after the transaction7Visa Core Rules and Visa Product and Service Rules, edition of October 24, 2026, dispute time limits.

the clock is in your notice, not in the terms

Based on Square Payment Terms sections 12, 20 and 38 and the appeal article, read November 3, 2026. Days are illustrative.

Three things shrink or extend the balance meanwhile2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026:

  • Disputes and refunds come out of it first. Square can recover them from "any Balance", "any Reserve" and your "linked bank" account, "without prior notice to you".
  • A reserve can stay after the hold. Square sets its amount and may raise, reduce or remove it "at any time".
  • An investigation keeps funds in place. If you are "later determined to be entitled to some or all of the funds", Square releases them.

Watch out

A deactivation can leave you owing money. Termination "does not relieve you of obligations to pay … Chargebacks, and any other amounts owed", and Square can debit your linked bank account for them2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026. Keep enough in that account, or expect a failed debit to turn into a collection. How releases work on an active account: Square holding your funds and Square reserves.

How to appeal

Only if your notice says you can. Square's appeal is for sellers whose deactivation notice indicates "eligibility to appeal"3Square Support, Appeal a deactivation of your Square account, read November 3, 2026.

  1. Find the link in the deactivation email, the Dashboard banner or the Square POS app3Square Support, Appeal a deactivation of your Square account, read November 3, 2026.
  2. Fill in the form with a description of your products or services, supporting documents, and how you addressed the concern in the notice3Square Support, Appeal a deactivation of your Square account, read November 3, 2026.
  3. Send proof, not a request: business registration, supplier invoices, product pages, refund and dispute rates by month, and what you changed.
  4. Watch your email. Square sends a confirmation, and appeals "are typically reviewed within 48 hours"3Square Support, Appeal a deactivation of your Square account, read November 3, 2026.
  5. Answer follow-ups fast. Square may ask for more documents3Square Support, Appeal a deactivation of your Square account, read November 3, 2026.

Source: Square Support, Appeal a deactivation of your Square account, read November 3, 2026.

There are three outcomes. Approved: the account is reactivated and "any held funds will be released". Denied: an email explains "the decision and impact to any held funds", and "the deactivation remains in effect". Or a request for more information3Square Support, Appeal a deactivation of your Square account, read November 3, 2026.

If your business is on the unsupported list, change the business before you appeal, not the wording. What to put in the file, row by row: how to appeal a closed merchant account.

Get your customers' cards and your data out

Do both on day one. The card export is the only way your repeat customers keep paying without re-entering a card. Square's conditions5Square Support, Export card on file to third party payment processors, read November 3, 2026:

Why the hurry: after termination, Square "may (but [has] no obligation to) delete your information and account data stored on our servers"1Square, General Terms of Service (US), sections 3, 12, 13, 22 and 24, last updated October 27, 2026 (applies to all sellers from November 12, 2026; sections 12 and 13 unchanged from the September 14, 2026 version), read November 3, 2026. How to plan the move without losing renewals: how to switch payment processors.

Don't close the account yourself

Leave it open, even if Square has stopped your payments. Square's own article on closing an account gives the reasons4Square Support, Deactivate your Square account, read November 3, 2026:

Keeping it open costs nothing: Square says "there's no cost to keep your account open"4Square Support, Deactivate your Square account, read November 3, 2026.

A new Square account, and MATCH

Don't open a new Square account for the same business. Square requires your "true and accurate name" and runs periodic checks on whether you still qualify2Square, Payment Terms (US), sections 2, 3, 8, 9, 12, 14, 20, 21, 36, 37 and 38, last updated July 30, 2026, read November 3, 2026. A new account for the same owners and products is likely to be linked to the old one.

Some terminations also lead to a listing on Mastercard's MATCH file, for reasons such as excessive chargebacks or fraud. Ask Square in writing whether it applies to you. Every code: the MATCH list. Tagada follows Visa and Mastercard rules and the laws that apply to payments.

Two legal points if you plan to contest. Disputes with Square go to binding individual arbitration, and "any action or proceeding by you relating to any Dispute must commence within one year after the cause of action accrues"1Square, General Terms of Service (US), sections 3, 12, 13, 22 and 24, last updated October 27, 2026 (applies to all sellers from November 12, 2026; sections 12 and 13 unchanged from the September 14, 2026 version), read November 3, 2026.

How Tagada helps

More than one processor, before the next email

  • More than one processor: "Already on Stripe, NMI or Airwallex? We orchestrate those too." One deactivation doesn't stop every sale.
  • A vault you own: "Export your vault, cards, and customers anytime." "Switch processors without re-onboarding customers. No vendor lock-in. Ever."
  • Reviewed per file: "Enhanced review for regulated verticals." "If you sell something real, we will get you paid."
  • Onboarding: "One KYC. One signed package." TagadaPay says most merchants are live under 24 hours.
  • Support: "The person who reviews your application has a name, and so does the one who picks up when something breaks."

Frequently asked questions

Why did Square deactivate my account without warning?

Square's terms let it terminate an account "at any time for any reason", with notice by email or at your next login. Its Payment Terms list what usually leads there: an unsupported industry, excessive chargebacks, a refused request for documents, or suspected fraud. Compare the notice with what changed recently in your ads, products and suppliers.

How long does Square hold funds after deactivation?

Square's terms set no number: payouts can be deferred "temporarily or indefinitely". Sellers report 90 days in their notices, and processors' blogs repeat it. Square can also keep the amount of likely disputes until the dispute window ends, and most Visa disputes can be raised up to 120 days after a sale.

Can I appeal a Square deactivation?

Yes, if your notice says you're eligible. Use the link in the email, the Dashboard or the POS app, describe your business, attach documents and explain what you fixed. Square says appeals are typically reviewed within 48 hours; an approval releases held funds.

Can I open a new Square account after being deactivated?

Not to run the same business. Square requires your true name and checks periodically whether you still meet its requirements, so a new account for the same owners is likely to be linked. Fix the cause, or apply to a processor that underwrites your category.

What happens to my customers' saved cards?

They stay at Square until you ask for the export. The account owner calls Square Support, and Square sends an encrypted file to a PCI DSS Level 1 processor within up to two weeks. Export your Customer Directory too: the card file holds Square's customer IDs, not names.

Can Square take money from my bank account after deactivation?

Yes. Chargebacks and amounts owed survive termination, and Square's terms let it recover them from your balance, any reserve and your linked bank account without prior notice. Keep the account linked and funded while disputes can still arrive.
